Billing and Accounts Receivable Manager
The Billing and AR Manger is responsible for the Firm’s cash flow, from finalizing time entry and sending out timely bills to addressing collections, resolving issues throughout the process. This is a critical role for the Accounting Department and for the effective operations of the Firm. This position reports to the Executive Director.
Responsibilities:
- Ensure that all timekeepers have entered and finalized time entries for the month.
- Generate monthly prebills on the 2nd business day; distribute to billing attorneys.
- Handle edits to prebills; finalize and prepare clients’ bills.
- Generate electronic bills utilizing various e-billing software.
- Finalize all time, cost, and accounting batches for the month. Run month-end reports.
- Manage duties performed by the Accounting Administrator; ensure daily cash receipts are deposited, applied properly, and provide assistance as needed.
- Process credit cards payments for clients’ bills and retainers.
- Assist attorneys and staff on billing questions.
- Respond to client inquiries regarding billing matters.
- Generate and mail/email monthly reminder statements or work with Legal Assistants to do so.
- With the Executive Director, manage duties performed by the Collections Specialist with accounts receivable matters as needed.
- Assist the Executive Director with year-end reports.
- Provide backup as needed in the Accounting Department, e.g., prepare cash report, run conflict checks, open new matters, process cash receipts.
- Responsible for all day-to-day activities and initiatives as the position requires.
- Handle special projects as requested.
Requirements:
- Minimum of five years legal billing and general accounting experience.
- Knowledge of Surepoint billing system, and electronic billing applications preferred.
- Ability to multi-task; prioritize duties; attentive to details.
- Ability to work with clients, attorneys, and staff; and maintain confidentiality.
