Legal Assistant (Real Estate, Commercial Finance)
Sherin and Lodgen is seeking a legal assistant to support the firm’s commercial finance practice group. This position performs a variety of administrative support duties and delivers high-quality services with excellent attention to detail to attorneys and paralegals.
The assistant is expected to maintain a thorough knowledge of all firm and practice specific administrative processes and procedures. Knowledge surrounding information technology systems, research tools, and a broad-based understanding of clients, matters and associated practices is also expected. The ideal candidate will have experience with commercial finance and real estate transactions and a demonstrated ability to multi-task and complete tasks with tight deadlines.
Essential Duties and Responsibilities
General Duties:
- Draft, edit, and finalize correspondence with outside parties
- Format and make edits to documents; create automated table of contents, if needed
- Compare documents using Litera
- Convert documents from PDF to Word and reformat
- Compile fully executed PDF loan documents and create electronic closing binders
- Assist attorneys with closings – create signature packets, compile fully executed loan documents, coordinate necessary wires.
- Edit and proofread written work product
- Responsible for client intake including drafting and circulating conflict checks, preparing opening sheets and engagement letters, and maintaining contact information in Outlook.
- Prepare reimbursement requests and check/wire requests
Files:
- Keep electronic files organized and current
Calendar:
- Register attorneys for events, webinars, etc.
- Keep calendar deadlines such as marketing, and firm deadlines (assistants will need access to attorney’s Outlook calendar)
Miscellaneous:
- Answer phone and take messages when attorney is not available
- Reserve conference rooms and arrange set-ups for all meetings
- Arrange all travel and create itineraries
- General internet research for addresses, phone numbers, etc.
- Register attorneys for annual bar renewals and other memberships
- Work with the Accounting Department on billing-related requests
Education and/or Experience
- Undergraduate degree required
- Minimum three years of experience in a professional services environment, preferably a law firm.
Skill Set and Abilities
- Reading and Writing: Ability to read and comprehend instructions, complex documents, correspondence and memos. Ability to write complex correspondence and to effectively present information in various situations.
- Strong knowledge of computer operation, spreadsheet software, and word processing software required.
- Strong communication and interpersonal skills: Demonstrates effective teamwork, communication and prioritizes and anticipates work needs. Must be able to work well under occasional periods of pressure and short deadlines.
