Practice Coordinator – Employment Law

This position is responsible for providing high-level administrative and project management support to (a) the Firm’s Employment Law Department (the “Department”) at Sherin and Lodgen LLP and (b) the partner who leads the Department. The position requires thorough knowledge of all firm and Department-specific administrative processes and procedures. Strong knowledge of Microsoft Word and a broad-based understanding of clients, matters and associated issues is required. Applicants must have excellent communication skills, be very organized and detail oriented, and be able to work in a fast-paced environment.

Essential Duties and Responsibilities

General Duties:

  • Intake of potential new clients and scheduling of consultations
  • Coordinate monthly billing and collection process
  • Maintain client and business development contact list
  • Draft, edit, and finalize all routine correspondence; attorneys may draft text and send via email to legal assistant for finalizing
  • Assist in drafting and formatting of basic documents, and document conversion
  • Coordinate meetings with clients and keep calendar deadlines
  • Compare documents using Draftable Legal
  • Converting documents from PDF to Word and reformat
  • Edit and proof all written work product
  • Create all conflict checks, opening sheets, and engagement letters
  • Copying and scanning
  • Preparing reimbursement requests and check requests

Miscellaneous:

  • Answer phones, reserve conference rooms, and arrange set-ups for in-office meetings
  • Schedule calls and meetings for attorneys
  • Arrange travel and create itineraries
  • Assistance with time entry and month end processes
  • Register attorneys for annual bar renewals and other memberships

Education and/or Experience

  • Undergraduate degree preferred
  • Minimum three years of experience in general administrative duties and demonstrated project management skills

Skill Set and Abilities

  • Reading and Writing: Ability to comprehend instructions, complex legal documents, correspondence, and memos. Ability to write complex correspondence and to effectively present information in various situations
  • Strong knowledge of Microsoft O365 products (especially Word) required
  • Strong communication and interpersonal skills
  • Demonstrates effective teamwork, communication and prioritizes and anticipates work needs. Must be able to work well under occasional periods of pressure and short deadlines.
